Acceptance of Terms

These Terms & Conditions (“Terms”) govern your use of the Science Explorers website located at sciencexplorers.com and participation in all Science Explorers programs, including after-school clubs, summer STEM camps, school assemblies, and any related services (collectively, “Services”).

By accessing our website, completing a registration form, or enrolling a child in any program, you (“Parent” or “Guardian”) acknowledge that you have read, understood, and agree to these Terms on behalf of yourself and your child. If you do not agree, please do not register or use our Services.

Program Eligibility

Science Explorers programs are designed for children ages 4 to 11, unless otherwise specified for a particular program. Enrollment is subject to the following:

• All enrollments must be completed by a parent or legal guardian aged 18 or older.
• Specific age ranges apply to individual programs (e.g., ages 4–6 or 7–11 for certain camps). Please review program details prior to enrollment.
• Science Explorers reserves the right to refuse enrollment if a child does not meet the age or developmental requirements of a given program.
• Programs are available in select locations across Pennsylvania, New Jersey, Delaware, and Maryland. Availability may change without prior notice.

Registration & Enrollment

Registration is completed through our website or via an authorized Science Explorers representative. Enrollment is confirmed only upon receipt of full payment (or an approved payment arrangement) and written confirmation from Science Explorers.

• Enrollment is on a first-come, first-served basis. Spaces are limited.
• You are responsible for providing accurate and complete information during registration, including your child’s age, any known allergies, and emergency contact details.
• Science Explorers reserves the right to cancel a program session due to insufficient enrollment, instructor unavailability, or circumstances beyond our control. In such cases, a full refund will be issued.
• Re-enrollment in subsequent sessions does not carry over automatically; new registration is required each session.

Payment & Fees

All program fees are listed on the Science Explorers website and are subject to change. Fees must be paid in full at the time of registration unless a payment plan has been expressly agreed upon in writing.

• Accepted payment methods include major credit/debit cards and any other methods listed at checkout.
• Prices are listed in US Dollars (USD).
• Science Explorers is not responsible for any bank fees, currency conversion charges, or third-party transaction costs.
• Grant-funded programs may have different payment structures. Contact us for details.

Cancellation & Refunds

We understand that plans change. Our cancellation policy is as follows:

• 14+ days before program start: Full refund, less a $25 administrative fee.
• 7–13 days before program start: 50% refund of program fees paid.
• Less than 7 days before program start: No refund. You may transfer enrollment to another eligible child in the same household at no additional charge.
• After program begins: No refunds will be issued for missed sessions due to illness, personal schedule conflicts, or early withdrawal.
• Science Explorers-initiated cancellations: If Science Explorers cancels a program, a full refund will be provided within 10 business days.

All cancellation requests must be submitted in writing via email to the contact address below.

Participant Conduct

Science Explorers is committed to maintaining a safe, inclusive, and respectful environment for all participants, instructors, and staff.

• Participants are expected to follow the instructions of Science Explorers staff and instructors at all times.
• Bullying, harassment, or discriminatory behavior of any kind will not be tolerated.
• Deliberate damage to equipment, materials, or facilities may result in the parent/guardian being charged for repair or replacement costs.
• Science Explorers reserves the right to remove any participant from a program without refund if their behavior poses a risk to themselves, other participants, or staff.
• Parents/guardians are responsible for arranging timely drop-off and pick-up of their child. Science Explorers is not responsible for children outside of scheduled program hours.

Health & Safety

The safety and wellbeing of every child is our top priority. By enrolling in a Science Explorers program, you agree to the following:

• You will disclose all known allergies, medical conditions, and special needs that may affect your child’s participation during the registration process.
• Science Explorers staff are not licensed medical professionals and cannot administer prescription medications unless otherwise arranged in writing with program management.
• In the event of a medical emergency, Science Explorers staff will contact emergency services (911) and the parent/guardian using the contact information provided at registration.
• Participants who are visibly ill (fever, vomiting, or contagious symptoms) should not attend sessions. Science Explorers reserves the right to send home any child who appears unwell.
• All Science Explorers instructors undergo background checks prior to working with children.
• Science Explorers programs include hands-on experiments. All materials used are age-appropriate; however, adult supervision is maintained at all times during activities.

Photo & Media Release

During Science Explorers programs, photographs and/or video recordings may be taken of participants for use in marketing, social media, website content, and promotional materials.

• By enrolling your child, you grant Science Explorers a non-exclusive, royalty-free license to use images or footage of your child in connection with our programs and marketing.
• No full name or personal identifying information will be published alongside any image without separate written consent.
• If you do not wish your child to be photographed or filmed, you must notify us in writing at the time of registration. We will make reasonable efforts to honor your request.

Liability & Indemnification

Participation in Science Explorers programs is voluntary. While we take extensive precautions to ensure safety, there are inherent risks associated with hands-on activities.

To the fullest extent permitted by applicable law:

• Science Explorers, its founders, employees, instructors, volunteers, and partner organizations shall not be liable for any injury, illness, loss, or damage arising from participation in our programs, except in cases of gross negligence or willful misconduct.
• Science Explorers is not responsible for loss, theft, or damage to personal belongings brought to program sessions.
• Parents and guardians agree to indemnify and hold harmless Science Explorers from any claims, damages, or expenses arising from their child’s participation or their own actions.

Privacy & Data

Science Explorers is committed to protecting the privacy of your family. When you register or use our website, we collect personal information such as your name, email address, phone number, and your child’s information as needed to deliver our Services.

• Your personal data is used solely to administer programs, communicate updates, process payments, and improve our services.
• We do not sell, rent, or share your personal information with third parties for their marketing purposes.
• We use reasonable technical and organizational measures to safeguard your data against unauthorized access.
• You may request access to, correction of, or deletion of your personal data by contacting us at the address below.

Intellectual Property

All content on the Science Explorers website, including but not limited to text, curriculum materials, program designs, logos, graphics, and images, is the property of Science Explorers and is protected by applicable copyright and intellectual property laws.

• You may not reproduce, distribute, modify, or create derivative works from any Science Explorers content without prior written permission.
• Curriculum materials provided during programs are for personal, non-commercial educational use by enrolled participants only.
• The Science Explorers name, logo, and brand identity are registered trademarks and may not be used without express written consent.

Changes to These Terms

Science Explorers reserves the right to update or modify these Terms at any time. Changes will be posted on this page with a revised “Last Updated” date. Continued use of our Services or participation in our programs after changes are posted constitutes your acceptance of the revised Terms.

We encourage you to review this page periodically. For significant changes, we will make reasonable efforts to notify enrolled families by email.

These Terms shall be governed by the laws of the Commonwealth of Pennsylvania, without regard to its conflict of law provisions. Any disputes shall be resolved in the courts of Pennsylvania.
